Frequently Asked Questions
Should I use one app for everything or multiple specialized apps?
We recommend a modular approach. While 'all-in-one' tools like Notion are excellent for databases and wikis, specialized apps (like Fantastical for calendars and Todoist for tasks) often provide faster, more frictionless experiences for rapid data entry on mobile.
What is the difference between a task and an event?
An event is fixed to a specific coordinate in time (e.g., a 2:00 PM client call). A task is an action item that needs completion, but the exact time of execution is somewhat flexible. Events belong strictly on calendars. Tasks belong in task managers (though they can be time-blocked onto a calendar later).
Why shouldn't I just use Apple Notes or Google Keep?
Default apps are perfectly fine for grocery lists. However, as your responsibilities scale, you need features like bi-directional linking, advanced tagging, and custom perspective filtering to prevent information overload. Default apps lack structural rigor.
Is it safe to store all my data in the cloud?
Security varies by provider. If privacy is your utmost concern, we recommend local-first tools like Obsidian (for notes) or Things 3 (which syncs via proprietary encrypted channels rather than reading your data for ads).
